At The Moulding Company, we care about your privacy and your experience on our website. This page explains how we collect and use data, how cookies work, how our AI chat assistant works, and what policies apply to the content and services we provide.
1. Privacy Policy
We collect personal information only when necessary, for example when you place an order, contact us, or subscribe to updates. This may include your name, email address, phone number, and IP address.
We use this data to:
- Process orders and provide customer support
- Improve website performance and user experience
- Send occasional updates (only if you opt in)
- Operate our AI chat assistant, including processing the messages and any images you submit through a third-party AI service provider so we can answer your questions
We do not sell your personal information. We may share anonymous data with trusted partners like Google and Facebook to improve marketing and security.
AI Chat Assistant (Millie)
Our website offers Millie, an AI assistant that answers questions about our products, sizes, materials, delivery, samples, returns and showrooms by text or by voice. Millie is in beta. She is still learning and can make mistakes. For how to use her, see Meet Millie.
What we collect when you use Millie
- Your messages and any photo you choose to upload (for example, to help identify a moulding).
- Your voice, only when you choose to use voice. In a voice conversation your audio is streamed in real time so Millie can understand and answer you, and your words are shown on screen as text. We do not record or store your audio. If you use the microphone button to dictate a message, the recording is turned into text and then discarded.
- Contact details you enter in the “Talk to our team” form (your name, email address and message). We send them to our team by email, together with the recent part of your conversation, so we can help you.
- Usage information without your message content: for example, that the chat was opened, a voice conversation was started or a product link was clicked. We use it to understand how Millie is used and whether she helps customers.
- Security information: to prevent abuse we use a bot check and limit how often each connection can use the assistant. For these limits we keep only a one-way scrambled (hashed) version of your IP address, for a short time.
How it is processed
Your messages, photos and voice are sent to trusted third-party AI service providers that generate Millie’s answers, convert speech to text and produce her voice on our behalf. When Millie reads an answer aloud, only the text of her answer is sent to a voice provider. We also use a bot-protection service and Google Analytics. These providers process information only to provide their services to us. Our AI service provider does not use your conversations to train its models. We do not sell or share your personal information for advertising.
How long we keep it
- Chat conversations: up to 30 days, then deleted automatically.
- Questions asked (used to improve Millie’s answers and our website): up to 60 days.
- Voice audio: not stored.
- Messages sent through the “Talk to our team” form: kept as part of our normal customer records.
Please do not share sensitive personal information (such as payment details or government ID numbers) in the chat.
Accuracy
Millie’s answers are general guidance, not a quote, a contract or professional advice. She does not quote prices and cannot place or change orders. Please confirm sizes, availability, prices and order details with our team before you buy. To the fullest extent permitted by law, The Moulding Company is not responsible for any loss or damage that results from your reliance on the assistant’s responses.

Your choices and rights
Using Millie is optional; you can always call or visit one of our showrooms instead. California residents have the rights described in this policy, including to know, delete and correct personal information, and these apply to information processed through the assistant. To make a request, contact us using the details below.
Data retention. Chat conversations are processed to provide answers and may be retained on a temporary basis to operate and improve the service. We do not use chat content to build advertising profiles.

Cookies are small text files stored on your device when you visit a website. They help us remember your preferences, improve site performance, and understand how visitors use our site.

5. Image Usage & Copyright Policy

6. 3D product viewer and Room Visualizer
Some of our product pages include an interactive 3D view of a moulding profile, and our Room Visualizer page lets you place our mouldings in an example room. This section explains what those tools do with information from your visit.
What we collect. When you use these tools we record anonymous usage events through our website analytics (Google Analytics 4). These tell us, for example, that a 3D model was viewed, that a visitor rotated it, which part numbers were tried in the Room Visualizer, which colours or finishes were chosen, and whether someone clicked through to a product page. These events carry no name, email address, or any other detail that identifies you. They are handled under the same analytics and cookie terms described elsewhere in this policy, including your cookie choices.
What we do not collect. These tools do not ask for personal information, do not create an account, and do not require you to be signed in. They add no advertising or tracking services of their own.
Your device. Your choices in the Room Visualizer are held in the page address, so you can copy the link and return to the same room or share it. This link contains only part numbers and colour choices. Staff testing the tool may have a short list of technical notes stored in their own browser. Neither tool sets cookies of its own.
Photographs. Where a tool lets you use a photograph of your own room, the photograph is read and drawn inside your own browser. It is not uploaded to us, is not sent to any other company, and is not stored on our servers. It is discarded when you close or leave the page.
Software we use. The 3D drawing software these tools rely on is served from our own website, not from an outside content network, so using them does not pass your details to another provider.
Accuracy. The 3D views and the Room Visualizer are illustrations. Colours, textures, lighting and finishes are approximate and will differ from the finished product, and natural timber varies from piece to piece. Sizes follow our catalogue dimensions and are not a measuring tool or a quotation. Please order a sample and confirm the part number before placing an order. We give no warranty in connection with these tools and accept no liability for decisions taken on the basis of the images they produce.
